Job description

PANDORA UAE is currently seeking a pro-active and results driven Office Specialist to join the corporate office in Dubai.


HR ADMINISTRATION * HR database maintenance and ensure that all official documentation is up to date and in order, complying with the current legislation.
  • Preparation and control of employment contracts and requested HR documents.
  • Obtaining all required documentation for visa and labor card applications.
  • Monitoring Health & Wellbeing activities.
  • Prepare necessary HR letters such as salary certificates, pay slips, NOC and other ad hoc letters.
  • Monitoring of medical insurance.
  • Leave management - track all sorts of absences of employees.
  • Handling internal and external HR reporting.
  • Support in development and implementation of HR policies and procedures.
  • Responsible for Pandora People Portal.
  • Conducting internal and external recruitment activities as required by business needs.
  • Preparation of Onboarding and Induction Program for newly hired employees
  • Support the process of organizational planning (update of job descriptions, organization charts etc.)
  • Support in monthly payroll processing.
SALES SUPPORT * Review and code all invoices on Basware (internal P2P; Purchase to Pay system) and submit for the approval of Sales Support Manager for the payment.
  • Maintain individual trackers for all the suppliers and services as per the invoices received, updating it in a timely manner.
  • Ensure utility bill payments are made on time every month for all the stores as well as the office.
  • Maintain the Supplier Code of Conduct tracker and related databases.
  • Ensure full support to the Sales Support team as necessary by managing ad hoc tasks.
About the team

Reporting to the HRBP, the Office Specialist is responsible for developing and implementing a broad range of activities in the Human Resources function for employees & management within UAE. The role will also support the retail team with some sales support tasks.
