What you'll be doing The job holder supports the end-to-end delivery of projects from concept to handover, ensuring timely progress, quality execution, and alignment with design intent. The role involves active follow-up with contractors, consultants, and internal stakeholders, as well as technical support in preparing layouts, presentations, and renders to assist decision-making and project advancement. Proactive Liaison: Ensure all constraints imposed by law or by authorities in charge have been listed and attended to in the sequence required Ensure all legal authorizations and permits are obtained in a timely manner Liaise with clients and clients’ business partners regarding the project Liaise with project team members and with other divisions whenever required Reporting: Provide systematically full reports, as to progress in general, to supervisors Provide list of would-be problems and solutions for approval Project Follow-Up: Produce status summaries of verified project as per a specific calendar Follow up on approvals and payments cycles, and vreport delays Follow up on material deliveries Gather information for project cost estimation Prepare quotations per project Participate in relevant projects and community activities as and when needed Site Coordination & Follow-up Conduct regular site visits to monitor progress and quality against approved drawings and specifications.Liaise with contractors, suppliers, and consultants to ensure adherence to timelines and resolve on-site issues.Track and report site progress, highlighting delays or discrepancies and proposing corrective actions Design & Technical Support Prepare design layouts, space plans, and renders using AutoCAD and/or SketchUp to support concept development and presentations. What you'll be doing Design and implement PMO processes, standards, and templates. Maintain project controls and key performance indicators (KPIs). Review and maintain individual workstream plans and the integrated master plan. Generate detailed schedule reports (e.g., critical path, baseline vs. actual, milestones). Track project milestones, deliverables, resource allocation, and interdependencies across multiple workstreams. Ensure program leadership has complete, accurate project information by collating and challenging data from workstream leads. Manage consolidated status reporting at both workstream and program levels. Monitor project progress and prepare weekly reporting board packs. About the Role We are looking for a Project Manager to join our Transformation PMO (Delivery Team) and support the execution of Group-wide Transform Program initiatives. This role is ideal for someone who excels in structure, coordination, documentation, and stakeholder management, and who thrives in a fast-paced transformation environment. You will work closely with the PMO leadership to ensure projects are delivered on time, risks are managed effectively, and governance standards are consistently met across all workstreams. What You'll Be Doing 1. PMO Delivery & Execution Support the end-to-end execution of Transform Program initiatives across multiple workstreams. Establish and maintain detailed workstream plans including milestones, dependencies, baselines, and progress tracking. Coordinate and run workstream meetings: scheduling, preparing materials, capturing minutes, following up actions, and updating RAID logs. Manage PMO documentation including templates, trackers, reports, version control, and structured storage.2. Governance & Reporting Ensure adherence to PMO governance frameworks, escalation mechanisms, and documentation standards. Prepare weekly reports, dashboards, and board-level packs for leadership review. Monitor risks, issues, actions, and decisions (RAID) and proactively follow up with stakeholders. Support cross-functional alignment and identify interdependencies across workstreams. 3. Stakeholder & Vendor Coordination Stakeholder & Vendor Coordination Collaborate with internal teams and external vendors to ensure timely delivery of initiatives. Coordinate SAP/BY implementation activities when relevant (experience beneficial but not mandatory). Support training logistics (user lists, scheduling, coordination, attendance, feedback) as part of PMO deliverables. 4. Data Accuracy & Critical Thinking Validate, challenge, and question data shared by workstream leads to ensure quality and accuracy. Identify gaps, risks, or inconsistencies and escalate when needed. What You'll Need To Succeed 4–6 years of experience in project management or PMO roles, ideally within large transformation programs. Strong understanding of PMO processes, governance, RAID management, and project reporting. Proficiency in project planning tools (MS Project, Excel, Smartsheet or similar). Ability to analyze and validate/challenge data shared by stakeholders. Experience with system implementation projects (SAP, BY, or similar) is a plus. Coordinate with marketing, production, NPD, design, photo, and video teams on asset deadlines. Proactively follow up with relevant teams for any missing information. Work closely with the post-production team, retouchers, and editors to set deadlines and ensure they are met. Ensure timely delivery of assets by aligning teams on deadlines and holding them accountable. Asset Organization Oversee and maintain an organized digital asset management system (e.g., Dropbox), ensuring assets are easily accessible, tagged, and categorized correctly. Collaborate with creative and production teams to ingest and properly archive new content as it's developed. Ensure the digital asset library remains up to date at all times and is reflective of the latest materials Coordinate with the creative teams to categorize and organize new assets. Support the team in managing project folders, version control, and archiving completed campaigns for future reference. Usage Rights Management Collaborate with the Creative Production and Legal teams to ensure proper usage rights for all models, music, photographers, and talent involved in content creation. Track and regularly update the usage rights database, including photography, music, and talent clearances, ensuring global teams are informed of any expirations or limitations.7+ years of experience in project or account management, ideally within a beauty, fashion, or creative agency environment Strong understanding of creative production processes (photo, video, design, post-production) Proficient in project management tools (e.g., Asana) Experience managing digital asset libraries and DAM systems Strong organizational and multitasking abilities.
